Common Vietnam Visa and Paperwork Mistakes

Most e-visa, extension, residence declaration, and TRC problems start with small mismatches: name, passport number, photo, date, entry port, stay basis, address, sponsor, or payment.

Short answer

Before submitting any Vietnam paperwork, check three layers: passport data, stay basis, and supporting proof. If a mistake has already entered a system, fix the application, document, or filing package itself. A chat explanation rarely fixes official data.

Mistake 1: not using the official e-visa portal

For e-visa, use the official domain Vietnam e-Visa official portal. The Immigration Department states that from 11 November 2024 the Vietnam Electronic Visa Portal operates on evisa.gov.vn and thithucdientu.gov.vn Vietnam Immigration Department portal. If a site promises guaranteed approval, hides service fees, or does not give a registration code, it is not the official flow.

A paid helper can review a form, but the chain must be visible: who fills the application, which email is used, where the registration code is stored, who receives the result, what is the government fee, and what is the service fee.

Mistake 2: trusting passport autofill without comparing

Vietnam e-Visa official instruction describes the first e-visa step as uploading a portrait and biometric passport photo; after upload, the system automatically displays personal information from the passport photo. Autofill is a helper, not proof. It can misread a letter, passport number, sex, date of birth, nationality at birth, or expiry date.

Put the passport next to the screen and compare full name, date of birth, sex, nationality, passport number, issue date, expiry date, issuing authority, and ICAO/MRZ lines. Pay attention to transliteration, double surnames, hyphens, middle names, and letters that look like numbers.

If e-visa, ticket, and passport spell the person differently, the issue can appear at airline check-in before Vietnam. The fix is a corrected application, ticket correction, or corrected document before travel.

Mistake 3: poor photo and unreadable passport page

The e-visa form requires a portrait and passport bio page. The portrait should show the face clearly, and the passport image should show the whole page: corners, number, name, birth date, expiry date, and machine-readable zone. Glare, blur, cropped MRZ, fingers, or messenger compression can lead to corrections or refusal.

Photograph the passport on a flat surface in good light, without cover and without filters. Do not upload a PDF where the passport is a tiny image inside a page. If a file was compressed by a messenger, use the original camera or scanner file.

For children, the form has a specific field for “Under 14 years old accompanying child(ren) included in your passport” Vietnam e-visa application form. A child with a separate passport is a different scenario from a child included in a parent’s passport.

Mistake 4: wrong dates, entry port, or single/multiple entry

Vietnam e-Visa official portal says Vietnam e-Visa is valid for a maximum of 90 days, single or multiple entry. Choosing the wrong entry type is a common problem when a traveler plans to leave for Thailand, Malaysia, Singapore, Cambodia, or home and return during the same validity period. Single-entry ends when you leave.

The entry port should match the real first entry. If you fly into Da Nang, do not choose Ho Chi Minh City by habit. If the route changes after approval, compare the new route with the issued document before buying the ticket.

Count exact calendar dates on the e-visa, not “three months”. Late-night arrivals, flight delays, buses to a border, and leaving one day after expiry can create overstay.

Mistake 5: losing control of payment and result check

After submission, save registration code, email, payment proof, application PDF, and result check link. Vietnam e-Visa FAQ states that the e-visa fee is not refunded if the application is refused, so payment is not an approval guarantee.

If payment failed appears, do not create several near-duplicate applications with inconsistent data. The official payment failed page Vietnam e-Visa payment failed guidance warns that an e-visa application may be denied if dishonest information is found by Vietnam Immigration Authority. Correct data matters more than repeated attempts.

Around holidays and Tet, timing can be worse than usual. Submit early, avoid tight border connections, and do not start a visa run without approved new documentation.

Mistake 6: applying one passport rule to everyone

Visa exemption is passport-specific. Russian citizens have a notable 45-day visa-free route according to the Russian Embassy in Vietnam Посольство России во Вьетнаме, but that rule does not automatically apply to Belarus, Kazakhstan, Uzbekistan, Kyrgyzstan, Armenia, Georgia, Moldova, Ukraine, or other countries.

Check by passport country, not by language group, residence country, or where the flight starts. A person may have citizenship of one country, residence in another, and a passport from a specific issuing country; the application follows the travel document used for entry.

If you have two passports, keep one continuous document chain: ticket, e-visa, insurance, booking, entry stamp, and exit stamp should match the passport used to enter Vietnam.

Mistake 7: mixing e-visa, extension, and TRC

E-visa, temporary residence extension, and TRC are different tools. The official e-visa portal says foreigners currently abroad can personally apply for e-visa, while e-visa holders in Vietnam may be considered for a new visa when invited or guaranteed under the law Vietnam e-Visa official portal. That is not the same as unlimited self-extension inside Vietnam.

Mistake 8: ignoring temporary residence declaration

After check-in, the accommodation provider or declarant submits temporary residence declaration. The MPS procedure MPS public-service procedure for temporary residence declaration describes account registration, foreigner data entry, and the condition that declaration is made immediately upon arrival; fee is none.

A hotel usually handles this at reception. For an apartment, it is the landlord, homestay, manager, or other responsible accommodation party. A booking or lease does not replace the official residence declaration.

Final check before submitting

Website Official domain evisa.gov.vn or another official portal; service site is not presented as government.
Passport Name, number, birth date, expiry date, nationality, MRZ, and every letter match.
Photos Portrait and passport bio page are readable, uncropped, glare-free, and not messenger-compressed.
Route Entry port, exit port, dates, single-entry/multiple-entry, and tickets do not conflict.
Status Visa exemption, e-visa, extension, work, family, study, business, or TRC are not merged into one plan.
Housing Address, landlord, booking or lease, and temporary residence declaration are clear before filing.
Payment Registration code, email, payment proof, result check link, and PDF/offline copy are saved.
