Documents Foreigners May Need in Vietnam

There is no single document pack for every situation. Entry, housing, residence declaration, banking, SIM cards, healthcare, work, and family paperwork each require a different set.

Short answer

For everyday life in Vietnam, a foreigner usually needs a passport, proof of stay basis, local address, local phone access, insurance, and copies of key documents. Do not carry every original every day. Keep originals secure and bring them when the task requires it: border, bank, clinic, police, official filing, employment, university, or notarization.

Passport, e-visa, visa exemption, and TRC

Your passport is the core document. It is used for entry and exit, domestic flights, hotel check-in, bank procedures, and serious medical situations. Build in validity margin: U.S. State Department Vietnam travel information states six months validity and one blank visa page for Vietnam entry, and airline checks can follow the strictest visible rule.

Your stay basis is a separate layer: e-visa, visa exemption, entry stamp, visa, temporary residence card, or another legal document. The official e-visa portal is Vietnam e-Visa official portal, while the Immigration Department notice says the electronic visa portal operates on evisa.gov.vn and thithucdientu.gov.vn from 11 November 2024 Vietnam Immigration Department portal.

For e-visa, the official portal describes a maximum of 90 days, single or multiple entry, for foreigners currently outside Vietnam who want to enter. It also says e-visa holders in Vietnam may be considered for a new visa when invited or guaranteed by an authority, organization, or individual under the law Vietnam e-Visa official portal. For visa exemption, always read the rule by passport country, not by language, region, or residence.

Address and temporary residence declaration

After check-in, you need a clear residence chain: where you live, who controls the accommodation, and who submits the temporary residence declaration. The Immigration portal lists “Declare temporary residence for foreigners” as one of its services Vietnam Immigration Department portal.

MPS public-service procedure for temporary residence declaration describes the online procedure: the declarant registers an account, logs in, fills and checks the foreigner information, and completes the declaration. The procedure condition says the declaration is made immediately upon arrival of foreigners; fee is none; the result is stored foreigner temporary residence information.

In 2026, the Ministry of Public Security launched unified software for accommodation providers to submit foreigner temporary residence declarations. Vietnam News reports the platform tbltkbtt.bocongan.gov.vn, a nationwide process from 15 June 2026, and expected uniform operation before 1 July 2026 Vietnam News on the unified temporary residence platform.

For the resident, the practical pack is: address in Vietnamese and Latin script, landlord or hotel name, phone/Zalo, apartment number, lease or booking confirmation, and proof that the declaration was accepted or submitted. A screenshot is not a substitute for the official record, but it helps when a clinic, bank, delivery service, or police officer asks where you live.

Housing: lease, deposit, and owner details

For apartment rental, prepare passport details, stay basis, local phone, messenger account, deposit money, and a written agreement. If the contract is in Vietnamese only, keep the original, photos of every page, payment proof, and a simple money table: rent, deposit, electricity, water, cleaning, internet, management fee, and parking.

The critical point is not only the lease. You need evidence of payment and clarity on the residence declaration. The agreement or chat history should show address, term, deposit amount, refund rules, utility rules, repair responsibility, parking, who talks to the building manager, and who submits foreigner data.

In Nha Trang, Da Nang, and other expat-heavy cities, real housing searches often happen through Facebook groups, Telegram or WhatsApp chats, Zalo, and local agents. Save the listing, agent profile, map point, photos, and chat history. If a dispute starts a month later, these records often matter more than a vague memory of the viewing.

Banking, SIM, exchange, and large payments

For a tourist SIM, a passport may be enough, but for longer use the SIM should be registered correctly to you. Do not build banking, delivery, hospital, housing, or OTP access around a number registered to someone else. Losing that number can break SMS codes, QR payments, and app logins.

Bank requirements are bank-specific, branch-specific, and product-specific. Prepare passport, e-visa or visa or TRC, local number, local address, lease or hotel address, and employer letter or work permit if the account is tied to work. Student, tax, investment, or business accounts can add their own evidence requirements.

For large payments such as housing deposit, medical bill, motorbike, tour, driver, or long transfer, keep the VND amount, exchange rate if USD/EUR/USDT or another currency is involved, transfer screenshot, receipt, recipient name, and payment purpose. In Vietnam, chat evidence is often useful, but only if the amount, date, and recipient are visible.

Healthcare, insurance, and medicines

For a clinic, bring passport or passport copy, insurance policy, assistance phone number, policy number, bank card or cash, allergies, diagnoses, and medicine list. For anything serious, request invoice, medical report, prescription, test results, and discharge summary in English or with clear codes.

Insurance does not always mean the clinic will treat without payment at the desk. A practical sequence is: open a case with assistance, get a guarantee of payment or know your self-pay limit, then keep every invoice and medical report. For motorbike use, sports, diving, eFoil, hiking, and intercity trips, read the exact activity, driver/passenger, alcohol, helmet, and evacuation terms.

For medicines, keep packaging, active ingredient, prescription, and doctor note for prescription drugs. Do not travel with loose tablets without packaging. A Vietnamese pharmacist or doctor will usually work better from active ingredient than from a brand name used in your home country.

Work, study, family, and legalization

Work, study, marriage, childbirth, TRC, and long-stay procedures can require documents that are hard to obtain from abroad: diplomas, police clearance, marriage certificate, birth certificate, child documents, powers of attorney, medical certificates, employer letter, work permit, or university papers.

The risk is usually document form, not only document presence. Official procedures may require notarized translation into Vietnamese or English, consular legalization, original for comparison, and a consistent name across passport, diploma, birth certificate, and translation. If transliteration differs, solve that before filing.

Build a scan archive before travel: passport, driving licence, civil-status documents, diplomas, certificates, tax or social IDs from your home country, powers of attorney, and contact details for someone who can obtain documents for you. A domestic ID from your home country is not a Vietnamese ID, but it can still be needed for home-country banks, online government services, or consular work.

If a document is lost, expired, or inconsistent

If your passport is lost, record where and when it happened, save copies, contact police in the incident or residence area, and contact your embassy or consulate. Without passport copy, visa or e-visa copy, local address, and local phone access, replacement usually takes longer.

If your e-visa, visa exemption, or TRC is expiring, the available route depends on the stay basis: exit and re-entry, a new e-visa from outside Vietnam, invitation or guarantee, or a long-term document. The official e-visa portal distinguishes foreigners currently outside Vietnam applying personally from e-visa holders in Vietnam who may be considered for a new visa through an inviting or guaranteeing party Vietnam e-Visa official portal.

If data does not match - name, birth date, passport number, nationality, gender, or expiry date - fix the document where the error occurred. A chat explanation does not replace a corrected document when the counterparty is a bank, airline, insurer, police officer, clinic, or public-service office.

Carry, store, and share carefully

  • On phone: passport, e-visa, stamp, TRC, insurance, address, emergency contacts, landlord contacts, contracts, and receipts.
  • In cloud: scan archive in a “Vietnam” folder, reachable from phone and laptop, without public links.
  • At home or safe: passport original, TRC, contracts, legalized documents, diplomas, certificates, and powers of attorney.
  • Do not leave passport as deposit for motorbike or housing. Use a cash deposit, document photo, or written receipt instead.
  • Do not overshare documents. Mask passport number, address, and QR/barcodes when a file is only needed for preliminary review.
